You will need to set up office management systems to track each volunteer’s journey from start to finish.

- A separate file for each volunteer will prepare you to support a positive volunteering experience
- The files will ensure you complete all the key steps you need to take to help protect the safety and wellbeing of both volunteers and the parents they support (such as thorough recruitment, induction, training, supervision etc.)
- Files must be confidentially and securely stored in a locked filing cabinet or electronic system with access restricted to only those who need to
- It is useful to file active volunteer files separately to files for volunteers who have left.
Keeping an overall picture
Keep a volunteer file checklist at the front of each volunteer’s file. It provides a summary of reminders to help monitor whether key volunteer processes have been followed. This is downloadable below:
